The Charter Process: A Seamless Experience with Equinox Charter

The Charter Process

You’re interested in working with us - Here’s a step-by-step guide to the charter process, with Equinox.

Step 1: Submitting Your Request

The journey begins with a simple enquiry. Clients can submit their request via the Equinox Charter website, via phone, WhatsApp, or by contacting your dedicated charter specialist directly. You’ll need to let us know:

  • Departure point and arrival destinations
  • Preferred dates and times
  • Number of passengers
  • Any specific requirements (e.g., onboard catering, Wi-Fi, pet-friendly aircraft)

Step 2: Aircraft Selection & Quote

Once your request is received its over to us – we’ll search available aircraft suitable to your request from our preferred network of operators. You’ll receive up to 6 charter aircraft that best suit your travel needs, with supporting information surrounding each of our recommendations along with a transparent pricing breakdown.  Factors that influence pricing include:

  • Aircraft type and size
  • Distance and duration of the flight
  • Operational costs
  • Additional services requested

We’ll ensure our due diligence is undertaken - we’ll provide accredited operators as a priority for consideration, those that have chosen to prove the standards under which they operate. We’ll ensure any supplier we work with is reputable, has a valid AOC (Air Operator Certificate), valid insurance cover and crew of a certain standard in terms of their hours flown in total and in type. As an ARGUS Certified broker, the standards we check are in line with the minimums as set out by ARGUS.

Step 3: Confirming the Booking

After reviewing the options and the answering of any questions, you select the aircraft that best suits your trip. A formal charter agreement is then provided for signature, outlining the flight details, General Terms & Conditions of Equinox Charter and payment requirements. We’ll typically mirror the cancellation terms of the operator.  Payments are typically made via bank transfer or via credit/debit card if you wish (subject to an additional 3.8% processing fee) and are made in full, in advance of the flight. We don’t typically request a deposit, unless our operator is requiring it.  

Step 4: Pre-Flight Arrangements

On contracting, we’ll hand you over to our fantastic Charter Operations team. Our team will contact you for a ‘discovery call’, to ensure we have everything covered with plenty of time ahead to organise. We’ll also ensure that any charter specific operational warnings are clear – no one likes surprises and as much as we are here to ensure your flight runs smoothly, we’re not immune to aviation challenges. We’re clear and transparent throughout the process. Our Charter Ops team will contact you to:

  • Receive passenger passports and coordinate passenger lists
  • Provide you a preliminary flight brief on booking, followed by a detailed final flight brief ahead of the flight once tail number and crew details are assigned
  • Arranging in-flight catering based on passenger preferences
  • Coordinating with ground transportation services
  • Ensuring any special requests are arranged

Step 5: Private Terminal / FBO Check-In

Unless handling of your flight is taken via the main airport terminal, private passengers typically arrive at a dedicated private terminal (FBO – Fixed Base Operator), where you’ll experience:

  •  Expedited security and customs (if applicable)
  •  Personalised assistance from ground staff
  •  Boarding in as soon as 15 mins with no long queues
  • Snacks and refreshments
  • Privacy to relax as you wish and meet fellow passengers, ahead of your flight
  • Airside access for vehicles to drop off and pick up passengers from the steps of the aircraft (where available)

Step 6: The Flight Experience

Onboard, passengers can relax.  Depending on the aircraft chosen, amenities may include:

  • Spacious seating with lie-flat beds (on some aircraft)
  • Gourmet dining
  • Snacks & premium beverages
  • High-speed Wi-Fi and entertainment systems
  • Flight attendant services
  • Customised amenities

Step 7: Landing & Post-Flight Services

Upon arrival, passengers are met with ground transportation or any additional concierge services requested. Equinox Charter of course offers support for longer multi-leg journeys and tours, ensuring a seamless travel experience.

We always value feedback – we’ll not harass you for information however any information supplied about the way we conduct our service and how the operator conducted theirs, is taken on board. We’ll be open minded to improve what we can do where possible.
